Agent and Applicant Privacy Notice

IAM Money Management, LLC

Version 1.0 · Effective date: October 2, 2026

This notice explains what personal information IAM Money Management, LLC ("IAM") collects about people who apply to join IAM as insurance agents, and about agents, team leads, brokers, directors and principals who work with IAM as independent contractors. It explains why we collect it, who can see it, how long we keep it, and your choices. It supplements our Privacy Policy, which covers the public website.

What we collect

  • Identity and contact details: name, email, phone, mailing address and account login details.
  • Licensing and professional information: license numbers, National Producer Number (NPN), resident and non-resident states, lines of authority, license expiration dates, years of experience, focus areas, languages, carrier contracting and appointment status, writing numbers, and certifications such as AHIP, anti-money-laundering, annuity and long-term care training.
  • Errors and omissions (E&O) coverage: certificates, carrier, coverage amount and expiration date.
  • Background disclosures: your answers to questions about criminal history, regulatory or license actions, bankruptcies, liens or judgments and prior carrier terminations, and any explanations you provide.
  • Background check reports, only if IAM orders one through a screening company after giving you a separate disclosure and receiving your separate written authorization.
  • Tax information: your W-9, which includes your Social Security number or taxpayer identification number.
  • Agreements and acknowledgments: your signed Independent Agent Agreement, policy acknowledgments and acknowledgment of this notice, including the typed legal name, date and time, IP address, browser and device, and document version recorded when you sign or acknowledge.
  • Profile information: your headshot, bio, headline and booking link.
  • Work activity in IAM systems: onboarding progress, leads assigned to you, client portal messages and documents you send, webinars you host, Medicare call and meeting recordings where required, and account security logs.

IAM does not collect bank account details in its systems. Commission payment setup is handled directly with insurance companies or our marketing organization.

Where it comes from

Mostly from you. We also receive information from state insurance license records and national producer databases, insurance companies and our marketing organization during contracting and appointment, the IAM leaders you work with, and, only with your separate written authorization, a background screening company.

Why we use it

  • To review your application and verify your licensing
  • To contract and appoint you with insurance companies
  • To pay you, including issuing tax forms such as 1099s
  • To meet insurance, Medicare and other legal and regulatory requirements, including supervising marketing and sales activity
  • To manage onboarding, training, certifications, renewals and advancement
  • To route leads and clients to you
  • To show your profile on the IAM website, only if you choose to
  • To secure IAM's systems, investigate complaints and protect clients

Who can see it

  • Your W-9, background disclosures and any background check report can be seen only by you and IAM's principals and owner. Your leaders see only whether these steps are complete. We log every time these files are opened.
  • Licensing, E&O, certifications, agreements and onboarding progress can be seen by you, your upline leaders, and IAM's principals and owner.
  • Your public profile (name, photo, bio, focus areas, states and languages) appears on the IAM website only if you turn on "Show me on the IAM website" and IAM approves it. You can turn it off at any time.

Who we share it with

  • Insurance companies and our marketing organization, for contracting, appointments, commissions and compliance.
  • State insurance regulators and government agencies, when required, such as for appointments, terminations or investigations.
  • Our accountant or tax service, for your W-9 and tax reporting.
  • A background screening company, only if you authorize a background check.
  • Service providers that run IAM's systems, such as website and database hosting, email delivery, scheduling (Cal.com), webinars (Zoom) and AI bio drafting. They may use your information only to provide services to IAM.
  • Others when required by law, or to protect clients, IAM or others.

We do not sell your personal information or share it for cross-context behavioral advertising.

How long we keep it

  • Signed agreements, acknowledgments, licensing and appointment records: 7 years after your relationship with IAM ends.
  • Medicare certifications, including AHIP, and related compliance records: 10 years where a Medicare plan contract or CMS requires it; otherwise 7 years.
  • Medicare sales and enrollment call and meeting recordings: 10 years.
  • Background check files: at least 4 years after the decision, and longer during any dispute or investigation.
  • Applications that don't result in a contract with IAM: 4 years.
  • W-9s and tax records: 7 years after the relevant tax year. After your W-9 is sent to our accountant or tax service, IAM removes it from its online onboarding system, and the retained copy is kept securely by IAM's accountant or tax service.

Signed agreements and the records of your signature can't be edited or deleted during their retention period, so they remain a reliable record for both you and IAM. We keep records longer when needed for a complaint, investigation, dispute or legal hold.

How we protect it

Your information is stored with role-based access controls, private document storage opened only through short-lived secure links, and logs of who opens sensitive files. No system is perfectly secure, but we limit access to the people who need it.

Your choices

You may ask us to tell you what personal information we have about you, give you a copy, correct inaccurate information, or delete information we're not required to keep. You may turn off your public website profile at any time. IAM provides these choices as a matter of policy and will provide any additional rights required by applicable law. We will not retaliate against you for making a request.

When you leave IAM

Your access to IAM systems ends on your last day, and your public profile is removed. We keep records as described above and notify insurance companies and regulators as required.
